Instructions to Poster Presenters

FINAL DATE FOR SUBMISSION OF POSTER UPLOADS IS SEPTEMBER 24th. WE ARE SORRY, BUT NO EXTENSIONS CAN BE GRANTED BEYOND THAT DATE.

The program committee was delighted with the number and diversity of abstracts that were received and we expect the conference to be a great one. We had over 100 presentation proposals submitted. Please review and follow the following guidelines for a streamlined implementation of the program. The identified presenter of all accepted oral presentations will be contacted and provided with the following information as well. Note, you must use the same email on your registration as the one on your presentation. If you need to alter one, please contact events@whitebarkfound.org.

Venue:

Because of various challenges, the entire H5II conference will be virtual using the software PheedLoop.  In late August, you will receive access to an “exhibitor” portal to create a public profile and upload a PDF file of your poster (details below).  Although you can access this portal before you are registered, we request you register as soon as possible but no later than September 14. 2021.

Future emails which we will generate from the PheedLoop system will come from the email address “no-reply@pheedloop.com”.  Since some email systems may route these emails to a junk folder, you may want to save it to a safe sender list.

Poster Session:

The program schedule for the conference is posted at https://highfivepines.org/program-and-events/program/. Posters will be available for attendees to view any time during the conference from within the “Digital Poster Hall” and during the poster session on Tuesday evening,

Every poster presenter will be expected to upload their poster files into the exhibitor portal by COB on September 14, 2021.

Poster Format:

Posters can be formatted either as a single slide (i.e., traditional poster format) or split into 3 slides (e.g., a slide for each of the Introduction/Background, Materials/Methods, Results/Discussion). Posters should be in a PDF format, with 16:9 aspect ratio page setup (i.e. widescreen), and use a font size that’s readable on a desktop screen. Max file size for the PDF is 50 MB.

Poster presenters have the option to include a short video presentation overviewing the highlights of their poster (3 min max). Videos need to be in MP4 format with a max file size of 100MB. If you selected an interest in presenting a “speed talk” during the conference, you will need to include this optional video poster presentation.  Any poster presenter is still able to enter the “speed talk” category by uploading a video as outlined.

 “Poster, Pines and Wine” 

The live poster session will take place Tuesday, October 5th, from 5:30–6:30 pm MDT during the “Posters, Pines and Wine” event.

Registration:

All presenters are required to register and pay for the conference no later than September 14, 2021. Poster presentations will not be included in the program if the presenter is not registered by this date.

Your registration profile and presenter profile will be synched together by your email, so be sure to use the same email for both.  Please register at https://highfivepines.org/registration.

Cancellation:

If you are unable to attend the conference, please let us know immediately. We may not be able to fully refund registration costs after September 1, but the registration can be transferred to another person.
